Wolverhampton Photographic Society & Rotary Club of Tettenhall Wolverhampton Young Photographer Competition Rules 1. Wolverhampton Young Photographer (“WYP”) is an annual photographic competition (“Competition”) organised by Wolverhampton Photographic Society (“WPS”) in collaboration with the Rotary Club of Tettenhall, and is open to young people who live, study or work within the WV postcode area. Those involved with the organisation of the Competition and their families are not eligible to enter. It is the responsibility of each entrant, together with an eligible adult if under 18, to ensure they have read and abided by the Competition Rules and the submission guidelines found in the ‘How to Enter’ section which form part of the Competition Rules. 2. Images that have won an award in previous WYP Competitions are not eligible for entry. Illustrations and/or artwork are not allowed. 3. All entries must be submitted digitally and must be uploaded via: www.wolverhamptonyp.org.uk No entries will be accepted by mail. No digital files will be returned but all images, except those which are short-listed, will be deleted at the end of each Competition. 4. The Competition closes at MIDNIGHT (Greenwich Mean Time) on Friday 21st December 2018. No entries or image uploads can be accepted after this time and this deadline will not be extended. It is the entrant’s responsibility to ensure there is enough time to complete an entry. 5. There are 4 awards categories for those aged 15 to 18 on 31st December 2018: Creative Portrait Open Reflection Further information on which categories you should choose is available on the WYP Competition web site at: www.wolverhamptonyp.org.uk A total of 3 images per entrant may be submitted for each of the four main categories giving a maximum of 12 images in total. Entrants cannot submit the same image, or a modified version of it, twice or into more than one category and there is no requirement to enter all categories or submit the maximum 12 images. As an example, you might enter 1 in Portrait, 2 in Creative, 3 in Open and 2 in Urban Landscape. Illustrations and/or artwork are not allowed. The overall winner, Wolverhampton Young Photographer 2018, will be the person whose image is selected by the judge as the best from the winning images in the four awards categories. 6. There is one award category for those aged 14 or under on 31st December 2018: Open A maximum total of 3 images per entrant may be submitted. The style or category of submitted images is open to the entrant’s own choice. Illustrations and/or artwork are not allowed. 7. Judging All entries will be assessed by a primary selection panel and a short-list will be announced following the completion of the primary selection and judging processes. All those on the short-list will be contacted by email and will be invited to attend the Final Judging and Awards in January 2018. In the event of a tie at any stage of the judging process, the decision of the judge(s) shall be final. A list of the winners and their winning photographs will be published on the WYP website. 8. Prizes Young Photographers aged 15 to 18 There will be four prizes of £50 for the image judged the best in each of the four award categories and will comprise £50 cash and a certificate to be awarded to the entrant. The winner of the David Cave Award for ‘Reflection’ will additionally win £50 to be donated to the charity of the winner’s choosing. The entrant who creates the entry deemed by the judge to be the single best image chosen from each of the four category winners, will become Wolverhampton Young Photographer 2018 and will additionally win a practical photographic workshop and be awarded a trophy which the winner may keep. If the winner attends a school or college a trophy displaying the organization name will be also be awarded to their school or college to keep for one year and then to be returned for the next year’s winner. Young Photographers aged 14 and under The entrant who creates the entry deemed by members of Wolverhampton Photographic Society to be the single best image will win a prize and also receive a framed certificate recognising their success. 9. General a) WPS reserves the right to change prizes to others of comparable value if required by unforeseen circumstances. Any such changes will be posted on the WYP website. Prizes are not transferable and no cash equivalent will be available for non-cash prizes. b) If any winner is unable to be contacted after reasonable attempts have been made, WPS reserve the right to offer the prize to a runner-up. c) Additional prizes that may be supplied by sponsors and supporters are the responsibility of their supporting companies and WPS is not liable for any difficulties that may arise in relation to these specific Awards. d) WPS reserve the right to modify, cancel or terminate the Competition given unforeseen circumstances beyond its control. These may include, but are not restricted to, computer viruses, technical equipment failure or the denial of third party services that may affect the integrity and fairness of the Competition. 10. Copyright and permissions By submitting images to the Competition, each entrant confirms and warrants that they: a) are the sole author of each entry and that it is their original work. In the case of composite images all components within the image must be the work of the entrant; b) own the copyright and any other intellectual property rights of each image; c) have the prior permission of those pictured in the image (or, where the image shows any persons under 18, the consent of their parent/guardian) for the usage rights required by WPS and the Rotary Club of Tettenhall in #11; d) have not licensed or disposed of any rights in the image that would conflict with uses to be made by the Competition (see #11); and e) where appropriate, have received any necessary permissions from the owner(s) of buildings included in submitted images for the usage rights required by the Competition in #11. 11. Reproduction By entering the Competition, the entrant grants WPS, the Rotary Club of Tettenhall and sponsors and supporters a non- exclusive, irrevocable licence to reproduce, enlarge, publish or exhibit, on any media, the images for any purpose connected with the Competition or future WYP competitions. This may include, but is not limited to: a) use in Competition literature – print & digital versions; b) display at any exhibitions; c) use on a secure web browser for judging purposes; d) inclusion on the WPS or Tettenhall Rotary Club web sites and on the websites of sponsors and supporters; e) use in press, promotional and marketing materials in both printed & digital format as appropriate; f) inclusion on social media used by WPS, the Rotary Club of Tettenhall, its sponsors and supporters. The Copyright of each image is retained by its respective photographer 12. WPS will remove any entries from the competition it feels may breach or contravene laws of public decency or may bring the photographer, the Competition, WPS, the Rotary Club of Tettenhall or any of its sponsors into disrepute. Such entries will be deemed as void. 13. The decision of WPS on all matters relating to the competition is final and no correspondence will be entered into. Should the entries in any category fall below the standard required by WPS, the Rotary Club of Tettenhall and the judges, then WPS reserves the right not to award prizes. 14. All images must be uploaded via the WYP website following the on-screen instructions. By accepting the Competition Rules and subsequently submitting images, entrants have entered into an agreement with WPS. Images cannot be withdrawn or amended after the close of the competition. 15. Liability a) WPS and the Rotary Club of Tettenhall cannot accept liability for any loss, damage, injury or disappointment incurred as a result of participation in, or other involvement with, the Competition, to the fullest extent allowed by law. b) Proof of electronic submission is not held as proof of receipt by WPS. c) WPS and the Rotary Club of Tettenhall cannot be held liable for any emails sent that do not arrive due to the entrant’s email security settings or any other reason. d) WPS and the Rotary Club of Tettenhall cannot be held responsible for damage to any computers or other technical equipment relating to, or resulting from participation in the Competition or from the download of materials connected to the Competition. 16. The information given in these terms and conditions is correct, but WPS reserves the right to change any of the above without prior notice. Any such changes will be posted on the competition website. By entering the Competition, entrants will be deemed to have agreed to be bound by these terms and conditions. Any breach of these terms by an entrant will void their entry. If a breach has occurred, but is discovered after the award of a prize, then WPS may request the return of that prize. 17. This Competition will be governed by English law. v2018.2 Wolverhampton Young Photographer 2018 Entry Guidelines Image files should use the sRGB colour space and be 8 bits per channel which the standard output from digital cameras and smart- phones etc. The preferred minimum dimension is 2000 pixels along the longest length and do not include watermarks, borders or signatures on your entry and if you need to resize your pictures, make sure not to overwrite the original file. Images must be uploaded the right way round and no responsibility can be taken by WPS for images that are submitted backwards or incorrectly orientated. Submitted images will be accepted ‘as is’. Black & white images are eligible for all categories, as are images of panoramic format. Image Title A photograph must be given a title, for example ‘Blue Eyes’. Image EXIF Data (Optional) The entrant’s name (Creator/Author) and the entry title (Title) must be set within the EXIF data of the image. Information on how to do this using a PC can be found on the Competition web site: www.wolverhamptonyp.org.uk File sizes Images from digital cameras or camera phones can be submitted and must have been taken using a camera with a sufficiently high resolution to allow the image to be reproduced to a maximum size of A4. It is recommended you use a camera of 6 mega-pixels or more. The final file size must be less than 2.5Mb. NB: Please ensure the camera used is on its highest-quality setting. Digital adjustments Digital manipulation is allowed, as is dodging & burning, changes to tone & contrast and cropping, High Dynamic Range (HDR) imaging techniques and stitched panoramas etc. In the case of composite images all components within the image must be the work of the entrant. WPS may require the RAW file(s) or original camera jpeg(s) for any short-listed image. Copies Please ensure that copies are kept of submitted images. WPS will take all reasonable steps to ensure the safe storage and back-up of entries within the term of the Competition, but cannot be held responsible for exceptional circumstances including Acts of God. Submitting an Entry Entrants should submit their image(s) via the Competition web site: www.wolverhamptonyp.org.uk/wyp Entrants should complete the information requested during the submission process and must include a valid email address for any future communications relating to the Competition.
